Gaming1 is looking for a Part-Time Receptionist – 31.2 Hours per Week (Monday to Friday)
As the first point of contact and the face of the company, you will play a key role in welcoming visitors, coordinating activities, and ensuring the smooth day-to-day running of the reception area.
YOUR ROLE
- Welcome visitors, partners, and employees in person and by telephone, ensuring a professional and positive experience through check-in, badge management, directions, refreshments, and message follow-up;
- Manage the reception inbox and ensure that internal and external requests are handled promptly and efficiently;
- Receive, sort, and track incoming and outgoing mail and parcels via Bpost, DHL, FedEx, UPS, and other providers; maintain tracking records and handle all related communications;
- Act as the point of contact for vehicle fleet management, including keys, documentation, vehicle check-ins and check-outs, and coordination with the Fleet and HR teams, as well as for selected external partners;
- Ensure that the reception areas and ground-floor meeting rooms are well maintained and presentable, including cleanliness, preparation, equipment, and availability;
- Manage orders and restocking for office supplies, beverages, coffee, and light refreshments, including sandwiches, fruit, and occasional orders;
- Provide administrative and logistical support, including hotel and transfer bookings, printing, mailings, employee gifts, badges, and internal documents;
- Work closely with various departments and provide occasional support to teams such as HR and internal events;
- Identify opportunities to continuously improve reception procedures and logistical workflows.
YOUR PROFILE
- You are organized and administratively minded, with the ability to manage multiple tasks simultaneously and prioritize effectively;
- Ideally, you hold a qualification in an administrative field, such as Management Assistant, and have initial experience in a similar position through an internship, student job, temporary assignment, or comparable role;
- You have an excellent command of French, both spoken and written, and a B2 level of English;
- You are proficient in standard office software and the Microsoft Office suite, including Outlook, Word, and Excel;
- You have excellent presentation skills and a strong customer-service mindset;
- You are thorough, reliable, discreet, and flexible;
- You have strong interpersonal skills and communicate clearly, both verbally and in writing;
- You have a solution-oriented mindset and can remain calm and handle unexpected situations effectively;
- You are independent, responsive, highly organized, and attentive to detail;
- You are a team player with a proactive and positive attitude.
